POSITION DESCRIPTION 

The Business Manager is a senior staff position for the Southwestern Association for Indian Arts, Inc. (SWAIA) with key responsibility for overseeing the organization’s financial management, human resource management, and business systems.  This is a salaried, core staff position that works with staff, seasonal staff and volunteers to produce the Santa Fe Indian Market, other seasonal art-related events, and other programming to fulfill the SWAIA mission and strategic goals.  The Business Manager reports directly to the SWAIA Executive Director.

GENERAL RESPONSIBILITIES: 

 ·         Manages SWAIA’s daily accounting, payroll, and fiscal operations.

·         Prepares monthly financial reporting and analysis.

·         Leads annual budgeting process.

·         Oversees HR management and compliance.

·         Provides key staff support to the Board of Directors Finance Committee.

 

KEY DUTIES AND RESPONSIBLITIES: 

1. Bookkeeping and Cash Flow Management.  Coordinate with SWAIA staff and/or
contract personnel to oversee management of SWAIA’s daily financial records, including:

  • Recording daily receipts, purchases and payments

  • Processing vendor bills, sending client invoices, tracking incoming and outgoing money

  • Matching internal (QuickBooks) financial records with bank statements

  • Processing bi-weekly payroll

  • Manages banking relationships

2. Financial Reporting.  Provide monthly financial reporting to the SWAIA Executive Director and Finance Committee to include:

  • Statements of Financial Position

  • Statements of Activities (monthly and YTD)

  • Supporting analysis including comparisons of financial results with budgets, prior periods, identifying variances and corrective actions.

  • Ensure compliance with generally accepted accounting procedures (GAAP) and other regulatory requirements. 

  • Coordinates with independent auditor and Boad of Directors Finance Committee to produce annual independent audits and 990 filings.

3. Budget Preparation.  Leads the annual financial planning process by preparing draft budgets based on historical results and SWAIA strategic and operating objectives as defined by organizational leadership.

4. Human Resource Management.  Works with the Executive Director to implement policies and practices that foster a positive and inclusive work environment. 

  • Develop and oversee performance appraisal systems that drive high performance.

  • Provide guidance and support to managers on performance-related issues.

  • Identify training needs and implement professional development programs.

  • Oversee the development and administration of compensation and benefit programs.

5. Business Systems:  Oversee the management of SWAIA’s information technology equipment and processes to ensure their proper operation, security, and contemporary character. 

6. Strategic Planning:  

  • Participate in strategic planning processes and contribute to the development of organizational goals.

  • Align financial and HR strategies with the organization’s mission and objectives.

 

PROFESSIONAL QUALIFICATIONS NEEDED: 

Candidates should have mid to senior level administrative experience, should be a “team player” with strong written and verbal communication skills, and have a reputation for professional, fiscal, and personal integrity.  Specific qualifications include: 

  •  BA in Accounting, Business, or a related field plus accounting work experience.

  • Candidates without degrees but who have 3 to 5+ years of professional financial management experience will also be considered. 

  • Hands-on experience with QuickBooks is essential.

  • Requires MS Office experience with advanced Excel proficiency.

  • Supervisory or project leadership experience is desired.

  • Employee benefits administration experience is desired.

  • Experience and skill in working with and reporting to a Board of Directors. 

  • Ability to work independently as well as within a team environment.

  • Demonstrated respect and appreciation for SWAIA’s mission, Native American artists, tribal nations, and other key stakeholders.

  • Strong network of working relationships with the Santa Fe business community, municipal leadership, and “movers and shakers” is highly desirable.
